Job Description Summary:
Oversees the financial and accounting operations of the Austin Community College Foundation and Office of Sponsored Projects, including budgeting, reporting, reconciliations, compliance, audit coordination, and financial forecasting. Supervises assigned staff and ensures accurate, efficient, and service-oriented financial processes in support of Foundation and institutional goals.

This position operates under the general supervision of the department manager or designated higher-level administrative staff. The Supervisor may provide oversight of assigned staff and is responsible for providing guidance, training, performance feedback, and coaching as needed. The role is expected to work independently in executing assigned responsibilities and resolving routine issues, exercising sound judgment in determining when escalation of complex matters is appropriate.

- May oversee unit-level budgeting and purchasing activities; ensure responsible fiscal management aligned with institutional priorities and public accountability standards.
- Lead the development and use of reporting tools and data systems to support strategic planning, institutional effectiveness, and compliance; interpret data to inform policy, operations, and service delivery.
- Manage departmental programs and services to ensure alignment with institutional goals, timelines, and applicable regulations; coordinate with unit leadership to address operational needs and service enhancements.
- Plan and allocate staff and operational resources to support unit goals, maintain service continuity, and respond to emerging institutional needs.
Description of Duties and Tasks
- Supervises the day-to-day financial and accounting operations for the Austin Community College Foundation and Office of Sponsored Projects, including workflow coordination, staff assignments, scheduling, and service delivery.
- Provides guidance, training, performance feedback, and coaching to assigned staff to ensure effective performance.
- Interprets and applies institutional and departmental policies and procedures to resolve routine operational issues, exercising judgment in escalating complex matters as appropriate.
- Monitors operational expenditures, purchasing activities, cash flow, and financial transactions within established budget parameters while ensuring appropriate stewardship of departmental and Foundation resources.
- Manages and reconciles Foundation financial activities, including income and expenditure accounts, bank statements, bookkeeping ledgers, scholarship and endowment funds, gift accounts, deposits, transfers, and check disbursements.
- Coordinates monthly reconciliation and oversight of scholarship, gift, and Foundation accounts in collaboration with the ACC Business Office and Finance teams.
- Produces and analyzes monthly, quarterly, and annual financial, fundraising, endowment, scholarship, and tax reports to support operational, regulatory, and strategic reporting needs.
- Coordinates financial compliance and audit activities, including annual audits, IRS Form 990 reporting, tax filings, and external reporting requirements such as Charity Navigator and Candid submissions.
- Collaborates with the Advancement Services Team, Development Team, ACC Chief Financial Officer, Business Office, and Finance & Investment Committee to support financial planning, forecasting, reporting, and operational decision-making.
- Oversees procurement-related activities and administration of financial and accounting systems used to support Foundation operations.
- Researches, analyzes, and interprets financial and operational data to support internal reporting, reconciliation, forecasting, and continuous process improvement.
- Assists in the development and monitoring of the ACC Foundation annual operating budget and related expenditures.

Minimum Qualifications
Education:
- Bachelor's degree.
- Four (4) years of related work experience or an Associate's degree plus two (2) years of related work experience may be substituted for the required education (plus the required experience noted below).
Preferred Education
- Bachelor's degree in Accounting, Finance or relevant degree.
- Certified Public Accountant or Certified Management Accountant certification.
Experience:
- Two (2) years of related work experience, including one (1) of supervisory experience.
Preferred Experience:
- Hands-on experience with accounting software like QuickBooks, Blackbaud Raiser's Edge NXT, Blackbaud Financial Edge NXT (preferred), and Google Workspace.
- Advanced MS Excel skills including Vlookups and pivot tables.
Supplemental Experience:
- Completion of the ACC Supervisor Certificate Series Program will satisfy the supervisory experience required for this position.
