Enrollment Services AssistantJob Summary:
The Enrollment Services Assistant conducts intake, testing, registration, and placement of students in appropriate Adult Education and ESL classes. The Assistant also enters student information into adult education data systems, provides reports as requested, and performs other duties as assigned.Job Description:
Student/Customer Services: 50%
- Provide daily intake and testing services by responding to student inquiries in-person, by phone, email, and virtual meetings.
- Assist students in completing applications and other enrollment/testing forms.
- Proctor tests according to established policies and procedures.
- Assist students with class registration during priority and regular registration periods.
- Communicate and explain the college's testing and registration process for Adult Education and ESL classes.
- Support recruitment efforts during registration periods.
- Assist instructors with student questions.
- Direct students to the appropriate department for assistance.
- Contact students to assist with enrollment and support overall program participation.
Department Operations and Processes: 40%
- Enter and verify student test scores and related information.
- Record application, enrollment, and test results data.
- Prepare and compile testing information for post-testing events on campus and at community sites.
- Organize and maintain testing materials, files, and records of requests for assistance during the intake process.
- Schedule students for test sessions as needed.
- Provide instructors with requested reports.
Other: 10%
- Participate in cross-departmental initiatives and campus events.
- Identify and recommend process enhancements to improve efficiency and service delivery.
- Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit, division and department of this position.
Physical: Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.
Environmental: Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.
Vision: Ability to observe in a near visual range with or without correction or reasonable accommodation.

Required Qualifications
- High School diploma or equivalent.
- Minimum of two (2) years of office support or related experience.
- Working proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to follow instructions, manage multiple tasks, and meet deadlines independently for routine work, with support for new or complex tasks.
- Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.
Desired Qualifications
- Experience working with computer information systems used for student and employee data and reporting such as Workday.
Work Schedule
Mondays and Wednesdays, 8:30am to 1:30pm (Lakeshore campus)
Tuesdays and Thursdays, 8:30am to 1:00pm (Southlake campus)
Occasional Fridays or Saturdays, 9:00am to 2:00pm are required.
Flexibility to adjust work schedule during peak time testing and registration season.
Pay
$16.38/hour
This is a grant funded position; continued employment in this position is based on external funding sources.
