The Arts & Sciences Program Coordinator provides operational, event, and outreach coordination across all programs in the School of Arts and Sciences, including Visual Arts, Performing Arts, English, Communication, Education, Social Sciences and Languages, Psychology and Criminal Justice, and Sciences and Outdoor Recreation. Under the direction of the Dean, the Specialist supports faculty and students through administrative operations, event and gallery management, community engagement, and summer advising for continuing students. This position enhances communication, promotes the public visibility of the School of Arts and Sciences, and ensures the smooth coordination of school-wide events and spaces.
PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE
The Arts & Sciences Program Coordinator provides operational, event, and outreach coordination across all programs in the School of Arts and Sciences, including Visual Arts, Performing Arts, English, Communication, Education, Social Sciences and Languages, Psychology and Criminal Justice, and Sciences and Outdoor Recreation. Under the direction of the Dean, the Specialist supports faculty and students through administrative operations, event and gallery management, community engagement, and summer advising for continuing students. This position enhances communication, promotes the public visibility of the School of Arts and Sciences, and ensures the smooth coordination of school-wide events and spaces.
PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE
Operational and Administrative Coordination
1. Coordinate purchasing, budget tracking, and scheduling processes for Arts and Sciences programs.
2. Assist the Dean with operational calendars, shared space coordination, and special event logistics.
3. Serve as a communication hub for departmental initiatives, marketing requests, and institutional partnerships.
4. Maintain records of inventories and requisitions.
Event, Gallery and Space Management
5. Help plan and execute school-wide events, including art exhibitions, lectures, readings, concerts, recitals, showcases, community events and community challenges.
6. Coordinate publicity with the Marketing Department
7. Oversee gallery schedules, installation logistics, and promotional materials
8. Maintain compliance with safety, ADA, and accessibility standards in performance and gallery spaces.
9. Build and maintain positive relationships with community partners and patrons.
10. Manage the Wellness Center and Outdoor Recreation rental areas.
Community and Student Engagement
11. Support the Dean and Department Chairs in promoting student centered and community facing events.
12. Represent the School of Arts and Sciences at recruitment and community events such as Preview Day, art fairs, and Wellness events.
13. Maintain databases and mailing lists for community contacts, patrons, and event partners.
14. Participate in student recruitment efforts, employer outreach, and public events to enhance program visibility and enrollment.
Academic Advising
15. Provide academic advising for students in general education, and Art and Sciences pathways.
16. Assist continuing students with course registration, degree planning, and transfer preparation under the direction of the Dean and Advising office.
17. Maintain accurate advising documentation and refer complex cases to faculty advisors when appropriate.
Transfer and Pathway Relations
18. Maintain Transfer Agreements and documentation. Track, update, and organize articulation agreements in collaboration with the Dean, Department Chairs, and Registrar's Office. Ensure agreements are current and accessible to advisors, students, and marketing staff.
19. Maintain advising resources detailing transfer options, articulation guides and degree pathways.
20. Assist in program review and student learning outcomes assessment to ensure academic quality, continuous improvement and transfer alignment.
Cross-Functional Collaboration
21. Collaborate with Facilities, IT, and Marketing on event setup, publicity, and space needs.
22. Coordinate communication and logistics between multiple disciplines for shared events and initiatives.
23. Ensure operational efficiency across arts and academic spaces by developing streamlined systems for support and clear data-driven analysis.
24. Collaborate with faculty and the Dean in curriculum planning, improvement initiatives, and integration of applied learning and technology into instruction.
25. Promote a safe, inclusive, and collaborative learning environment within labs, classrooms, and the broader campus.
26. Serve on institutional committees and participate in college initiatives as assigned.
27. Support Arts and Science faculty.
28. Perform other duties as assigned by the Dean of Arts and Sciences.
Minimum Qualifications:
MINIMUM QUALIFICATIONS (Knowledge, Abilities, Education and Experience)
- Graduation from a regionally accredited college or university with an associate's degree in a discipline appropriate to this type of position.
- Two years of administrative, event coordination, or program management experience, preferably in an academic environment.
- Proficiency with tracking budgets, procurement processes, and inventory control.
- Strong interpersonal, organizational, and communication skills.
- Ability to work collaboratively in a team environment with diverse stakeholders.
- Must possess and maintain a valid driver's license with a motor vehicle record acceptable to the College's insurance carrier for authorized driver status.
Equivalency Statement
For those candidates who do not exactly meet all the minimum qualifications, an equivalent combination of education and experience, which has provided comparable knowledge and abilities, will be acceptable.
Preferred Qualifications:
PREFERRED ADDITIONAL QUALIFICATIONS (Knowledge, Abilities, Education and Experience)
1. Bachelor's degree in a related area.
2. Demonstrated experience with instructional planning, student advising, or curriculum coordination in an academic or industry setting.
3. Experience teaching or in a corporate training environment.
4. Experience working with creative programs, exhibitions, or community outreach strongly preferred.
5. Familiarity with academic program assessment and curriculum development.
