Job Description:

The Intake Specialist provides support for prospective students enrolling into the various programs offered by Springfield Adult Learning Services. The Intake Specialist fosters relationships with prospective students while guiding them through the intake process. The Intake Specialist must be flexible, have excellent organization and communication skills and be able to multitask. The Intake Specialist must be able to manage data, work with multiple databases, follow up with prospective students, and provide timely communication with students and staff. The Intake Specialist will provide front desk support with phone and reception area coverage and student inquiry support as needed.

  • Guides students through the intake process: application, assessment, orientation, STCC email setup, prep week, introductory instructor/advisor meetings. Provides timely contact and follow up with students throughout the process to make sure they successfully complete each step and attend core classes during the first week.
  • Supports a welcoming, positive environment for diverse students, staff, and community members through reception area coverage of the Workforce Development Center;
  • Provides regular communication of student progress through the enrollment process: completed applications, assessments, scores and levels for class enrollment, class schedules, orientation, diplomas and transcripts, attendance documentation, and other information as needed;
  • Refers potential students to the Office of Disability Services, the Center for Student Access Services, etc, and/or area programs for services needed;
  • Answers inquiries through multiple platforms including phone, email, and ChatNow; provides information concerning program services;
  • Assists with various duties including opening the site, orientation and assessment sessions, general office correspondence and other duties as assigned by supervisor;
  • Provides data management of applications (i.e. Colleague, ARIES, Dynamic Forms, LACES, Google Workspace) and reports (i.e. waitlist, student enrollment, attendance, assessment, outcomes) on various database tools;
  • Collaborates with students, staff, teachers, advisors, and administrators to ensure accurate data collection;
  • Builds a variety of cumulative tracking and reporting systems of data for review including but not limited to: intake, waitlist, class enrollment, demographics, etc in compliance with program needs, database and policy changes;
  • Maintains confidential data and files (paper and electronic) related to attendance, enrollment, and assessment scores, certificates, outcomes, etc;


  • Associate's degree preferred
  • Experience with student services and data management
  • Two years combination of education, training, and experience
  • Proficient with data entry, mail merge, Word, Excel, Google Workspace (Docs/Sheets/Forms)
  • Skilled with written and interpersonal communication
  • Excellent organizational skills
  • Strong leadership skills
  • Ability to multitask, meet deadlines, work in a fast paced environment, demonstrate initiative and the ability to support staff and students where they are
  • Commitment to professional growth and program development; developing a positive, collaborative environment; supporting a student-centered, life-long learning environment; and providing excellent student support, follow up and timely communication
  • Verbal and written proficiency in English and Spanish preferred
  • Experience with the Massachusetts Department of Elementary and Secondary Education Adult Community and Learning System and the LiteracyPro LACES database preferred


Working environment inside classroom/office space. Normally seated, standing or walking at will. Light Physical exertion.

Candidates for employment should be aware that all STCC students, faculty and staff are required to be fully vaccinated by January 3, 2022. Candidates for employment should be aware that all STCC employees are required to complete Information Awareness Security Training within thirty days of their orientation date and annually thereafter.

SALARY: Range $38,000 - $42,900 annually

WORK SCHEDULE: Monday through Friday, 9 am - 5 pm, schedule may vary




TRAVEL: Position based on STCC Campus although some travel to and from Professional Development opportunities may be available.
