The Office Associate provides comprehensive clerical support to ensure the smooth operation of a college department or office. This position serves as a key point of contact for students, faculty, staff, and visitors, contributing to a welcoming and inclusive environment. Responsibilities include managing office communications, scheduling, records, data entry, and supporting departmental initiatives and events.Job Description:
Department Operations and Processes: 50%
Draft, prepare, and maintain databases and reports; provide support for campus and department operations including generating, data manipulation and quality assurance of reports.
Manage scheduling requests, communicates updates and cancellations for programs, events, and meetings.
Utilize various software systems to provide student support, scheduling and reporting, and office operations.
Monitor and replenish office supplies and equipment; coordinate with appropriate departments for restocking or maintenance.
Assist in preparing materials for presentations, meetings and events.
Provide clerical support to department staff and/or faculty, including document preparation, recordkeeping, and correspondence.
Student/Customer Services: 40%
Serve as a point of contact for students and other customers, providing information and support in person, by phone, or electronically.
Apply knowledge of college and campus procedures, policies, and resources to effectively assist with inquiries and resolve issues.
Execute outreach activities to relay important college information to internal and external audiences.
Maintain a professional and inclusive approach when supporting diverse student populations.
Other: 10%
Participate in cross-departmental initiatives and campus events.
Identify and recommend process enhancements to improve efficiency and service delivery.
Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit,?division?and department of this position.?
Physical:?Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.

Environmental:?Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.

Required Qualifications
High School diploma or equivalent.
Minimum of two (2) years of office support or related experience.
Working proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Ability to follow instructions, manage multiple tasks, and meet deadlines independently for routine work, with support for new or complex tasks.?
Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.
Desired Qualifications
Prior experience performing administrative or customer service duties, including scheduling, data entry, and office support tasks.
Experience working with computer information systems used for student and employee data and reporting such as Workday.??
Bilingual English/Spanish.
Work Schedule: 8:00am - 4:30pm Monday - Friday
Pay: $16.38/hour
