Administrative AssistantJob Summary:
The Administrative Assistant provides administrative support to ensure efficient operations of college programs and services. Responsibilities include managing office tasks, maintaining records, preparing correspondence and reports, coordinating schedules and events, assisting with budgets, and providing excellent customer service to students, faculty, staff, and visitors. This role supports departmental projects and promotes a welcoming, inclusive environment while working independently to prioritize tasks, meet deadlines, and follow established procedures.Job Description:
Department Operations and Processes: 50%
Prepare and maintain records, databases, and reports with accuracy and confidentiality.
Provide clerical support, including data entry, filing, and document preparation.
Coordinate meetings, calendars, events, travel, and room reservations; update systems as needed.
Assist with preparing materials and communications for meetings, presentations, and events.
Support the creation and distribution of promotional materials for departmental programs.
Manage office supplies, equipment maintenance, vendor requests, and routine purchases within budget.
Maintain department internal webpage and assist with public relations materials.
Student/Customer Services: 40%
Greet and assist visitors in person, by phone, and email, providing information and directing inquiries as needed.
Communicate clearly and courteously to support student success.
Assist with outreach activities to share college information with internal and external audiences.
Other: 10%
Participate in cross-departmental initiatives and campus events.
Identify and recommend process enhancements to improve efficiency and service delivery.
Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit,?division?and department of this position.?
Physical😕Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.
Environmental: Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.
Vision: Ability to observe in a near visual range with or without correction or?reasonable accommodation.?

Required Qualifications
High School diploma or equivalent.
Minimum of three (3) years of office support or related experience.
Intermediate?proficiency?with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.?
Ability to follow instructions, manage multiple tasks, and meet deadlines independently, seeking guidance only for complex or unclear situations.?
Ability to work effectively with individuals from diverse backgrounds and?maintain?a respectful, inclusive environment.?
Desired Qualifications
Experience working with computer information systems used for student and employee data and reporting such as Workday.??
Department Specific Information: Administrative Assistant may report to the Lakeshore Campus one day per week.
Work Schedule: Standard hours are Monday through Friday, 8:30am 5:00pm, with one late shift per week from 10:30am 7:00pm and one Saturday per month.
