The Support Professional for the English Department provides essential administrative skills and support for the Department Head, Composition, English as a Second Language and Integrated Reading and Writing faculty and staff, students and visitors of the English Department.

ESSENTIAL JOB FUNCTIONS
  • Operate an efficient office and provide high-level secretarial support to the English department head.
  • Serve as receptionist for administrative and instructional activities for the Department Head, faculty, and staff, while utilizing excellent professional awareness of legal ramifications when handling sensitive and/or confidential information.
  • Greet and direct students, visitors, members of the College, and the public responding in a professional manner to in person requests, and assisting with questions and concerns.
  • Process absences and sub pay requests for instructors, ensuring proper forms and approvals.
  • Maintain accurate records of absences in PeopleSoft.
  • Post departmental schedules on Google Calendar and maintain up-to-date availability spreadsheets for adjuncts.
  • Help with scheduling for full-time and adjunct instructors, including creating, updating, and distributing semester schedules.
  • Assist with the scheduling of overloads and create availability forms each semester.
  • Coordinate with instructors to choose textbooks for courses, ensuring consistency across sections.
  • Place book orders for all English classes, including sending book lists to the bookstore and library.
  • Maintain an updated department book spreadsheet for the library and campus records.
  • Assist faculty using OERs to have access to instructional materials
  • Budget/Pro Card/FS Prod:
  • Run monthly reports for budget tracking, including classroom supplies, memberships, and printing.
  • Manage departmental Pro-Card transactions, ensuring receipts are uploaded for reconciliation.
  • Organize materials and supplies for department events such as Open Houses and Advising Days.
  • Ensure event setups are complete, including providing necessary swag, magazines, and literature.
  • Maintain and expand the library by purchasing Caldecott, Newbery, King, and Belpre books.
  • Track and document all books purchased for the library, ensuring two copies are acquired for departmental use.
  • Coordinate and update semester schedules by class, location, and modality.
  • Work with the Department Head to finalize class assignments for full-time and adjunct faculty.
  • Ensure accurate and timely room assignments and schedule updates; address attributes in CSPROD
  • Assist with onboarding new full-time and adjunct faculty, ensuring all necessary equipment and resources are available.
  • Update contact information, and assist with department meetings and communications, including Zoom meetings and room reservations.
  • Maintain records of faculty availability and work with the Department Head for class assignments.
  • Update various departmental records, including syllabi, course calendars, and student attendance.
  • Assist with maintaining the department's online folders, ensuring documents are up-to-date and accessible.
  • Order necessary office and classroom supplies, ensuring inventory is maintained.
  • Track students who have taken the placement test and log AI-detected cases in an Excel spreadsheet (date, student ID, name).
  • Assist students with testing inquiries, including when tests are unavailable due to SAT or Accuplacer scores.
  • Work with the Enrollment Center to activate tests when required.
  • For AI detection, assist students with retaking the test and ensure they come to campus if necessary. Log AI cases in the AI spreadsheet, shared with the Enrollment Center.
  • Run queries for ARW 100 and IRW 101 students to ensure correct class enrollment.
  • Document changes and student discussions.
  • Contact misplaced students to discuss class adjustments, unless overridden. Share with the Department Head for further action.
  • Check student enrollment status via the Enrollment Request Search in PeopleSoft.
  • Student Enrollment:
  • Process prerequisite waiver requests for ARW 100, IRW 101/EN 101, EN 102, literature, writing, and ESL classes.
  • ESL students must be enrolled by their advisor; we only process the waiver.
  • Check transcripts or the equivalency website to verify waiver eligibility. Do not use overrides; inform students about tuition payment.
  • If a college is not listed on the equivalency website, request approval from the EN 101/EN 102 Coordinator.
  • Enroll students in their requested classes after the waiver is processed, ensuring the correct class number is provided.
  • Address issues for students trying to enroll in combined classes due to prerequisite errors. ARW and IRW students must enroll in their respective classes.
  • Discuss class modality, schedule, and enrollment options with students.
  • Assist students with placement testing, pre-requisite waivers, and enrollment issues.
  • Process course prerequisites and support students with registration, ensuring they meet the necessary requirements.
  • Provide students with necessary information on registration, placement tests, and related procedures.
  • Supervise and guide student workers, ensuring clear task outlines and job expectations.
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position
  • Performs other related duties as assigned

JOB SPECIFICATIONS
Education

  • Associate's degree required or comparable combination of relevant education and experience

Experience
  • Minimum of three (3) years of experience in an administrative assistant, customer service position role required

Skills
  • Proficient computer skills in Google (Chat, Calendar, Drive, Gmail, Groups, and Sheets) Microsoft Office (MS Word, Excel, PowerPoint), Adobe Acrobat, and willing to learn PeopleSoft Campus-Wide Information System (CWIS) (FSProd and CS-Prod), Cadence, Canvas, Preceptive Content, and Drupal.
  • Excellent organizational skills, ability to prioritize, and complete tasks in a timely manner.
  • Must be proficient in verbal, written, and interpersonal communication skills to work effectively with people of diverse ages, ethnicities, sexual and social-economic backgrounds.
  • Ability to work under high pressure. Possess mature judgment and be flexible in regards to frequent interruptions and ability to handle pressure situations.
  • Project a professional image including punctuality and good attendance record.
  • Ability to perform daily routine and unexpected duties with minimum supervision.
  • Must use excellent judgment in handling sensitive or difficult situations.
  • Demonstrated initiative and problem-solving abilities and be able to exert initiative and resourcefulness.
  • Maintain the highest levels of confidentiality and ethical standards.
  • Finalists must possess excellent proofreading skills and have aptitude for detailed work. A skills assessment may be required.
