Definition:
The Department of General Services is seeking a talented individual to fill the position of Purchasing Assistant. The Purchasing Assistant will perform a wide variety of general and specialized clerical duties in support of purchasing functions and programs, and to provide administrative assistance to the Purchasing Manager.

Comprised of two colleges, West Valley College and Mission College, we are located in the heart of Silicon Valley. Our staff and faculty are among the most qualified in the state and our students appreciate our two colleges for our friendly staff and supportive atmosphere.

Under direction of the Manager of Purchasing, the Purchasing Assistant will assist in the processing of purchase orders, contracts for materials, supplies, equipment and services in accordance with applicable laws regulations and District policies.

Assignment:
100% of full time, 37.5 hours per week, 12 months per year, with anticipated start date of June 26, 2023. Schedule may change to include some evening or weekend hours, as needed. This position is a member of the West Valley-Mission Classified Employees Association (WVMCEA) Office, Technical & Business Services Employee Unit.

Work Location: West Valley-Mission Community College District, located on the West Valley College campus, Saratoga, CA.

Salary and Benefits:
Anticipated Hiring Range:
  • $5,466.25 - $5,960.67 monthly (WVMCEA Salary Schedule, Range 55, Steps A-C).

Minimum Qualifications:
Experience and Education: Any combination of experience and education that would provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be:
  • Two years of responsible administrative support experience.
  • Equivalent to the completion of the twelfth grade.


Examples of Duties and Responsibilities:
Duties may include, but are not limited to, the following:
  • Perform a wide variety of routine and complex or specialized clerical work in support of purchasing operations, including filing, billing, checking, tracking, the bidding and bond process, insurance verification, recording information, and processing data.
  • Provide technical support to end users.
  • Sort and file documents and records; maintain contractor lists.
  • Act as receptionist; answer telephone, screen calls and visitors, and refer inquiries as appropriate.
  • Schedule, coordinate, and/or participate in meetings and appointments as assigned.
  • Perform data entry; maintain a variety of databases and compile data for reports.
  • May collect and process payments; receive, sort and distribute mail; and order supplies as necessary.
  • Build and maintain positive working relationships with co-workers, other district employees, and the public using principles of good customer service.
  • Foster an environment that embraces diversity, integrity, trust, and respect.
  • Be an integral team player, which involves flexibility, cooperation, and communication.
  • Perform related duties as assigned.
