Job Description:


Under general supervision, The Office Clerk is responsible for providing support for the Dental Hygiene Office. The Clerk will also work closely with Dental Hygiene faculty assisting with the copying, collating, and organizing of academic materials. Professional communication, collaboration and teamwork are essential skills of this position.

Teamwork is endemic to a system in which all employees are working for the good of a goal, who have a common aim, and who work together to achieve that aim. With the diverse population of the Greater Springfield region, this individual will demonstrate a strong commitment to the value of working with students, employees, and patients. This individual will work together with staff to create an atmosphere of trust and respect in which all can succeed.

Job responsibilities include, but are not limited to:
  • Greet patients, answer multi-line phones.
  • Provides excellent customer service at all times.
  • Assist in scheduling patient appointments and monitoring student schedules to ensure that they are filled.
  • Bring payroll sheets to the business office weekly.
  • Communicate with and obtain documentation from outside dental offices.
  • Occasional correspondence with students, employees, and off-site facilities.
  • Assist in maintaining student attendance and absentee log.
  • Assist in maintaining files and records.
  • Maintain office equipment, supplies, and assure that supplies are ordered when needed.
  • Order and organize the printing and pick up date of handbooks with the copy center.
  • Assist in maintaining a wait list for patients and update regularly.
  • Return all voicemails in a timely fashion.



Requirements:


  • High school diploma.
  • One (1) year of office experience.
  • Familiar and capable with electronic record keeping, scanning, e-mail, and patient/medical/dental office communication.
  • HIPAA trained or willingness to become trained.
  • A strong working knowledge of computer systems (Word, Excel, PPT, G-mail) and be open to be trained in new electronic dental software.
  • Working knowledge of basic hospital/clinic procedures, equipment and terminology preferred.
  • Able to multi-task in a busy clinic atmosphere.
  • Professional in demeanor and appearance, and in interacting with patients, students, and dental hygiene faculty and staff.
  • Ability to work well with a diverse group of individuals and be perceptive and understanding of student concerns.
  • A self-starter, motivated, organized, possess excellent communication skills, and prioritizes what the immediate clinic needs are at any given time.
  • Ability to maintain a smooth flow of patients through the clinic.

PREFERRED QUALIFICATIONS
  • Fluent in Spanish and English
  • Associates degree preferred

WORKING CONDITIONS/PHYSICAL DEMANDS:

Work is generally performed in an office environment. Work involves a high activity level and pace, and competing time demands. Essential tasks require typing/keyboard skills, phone usage, and reading, speaking, and listening. Use office equipment and computer keyboards requiring eye-hand coordination and finger dexterity. Balancing, crouching, grasping, pulling, reaching and stooping may also be required.
