Job Description:


The Grants Office seeks an experienced Grants Manager who has expertise with federal and state grants. This position will collaborate with Business Office personnel to set up grants and track budget spending. The Grants Manager also works with administrators, faculty and staff from all College divisions.

The ideal candidate should be highly organized, detail-oriented, proactive and able to work well with others. The candidate should also have experience with Pre-Award and Post-Award operations, and, at minimum, be familiar with the proposal submission systems of Grants.gov, Research.gov, and the Massachusetts EdGrants system.

Job duties include (but are not limited to) the following:

Pre-Award
  • Develop and maintain checklists for each proposal assuring that all supplemental materials are collected, all forms are completed, and all signatures are obtained and all funder proposal requirements, including formatting, are met before submission.
  • Know federal, state and College compliance regulations and communicate to relevant faculty and staff (budget and compliance).
  • Oversee all regulatory matters related to grant preparation and solicitation of support from federal agencies.
  • Act as liaison between the Grants Office and the Business Office.
  • Monitor electronic submissions.

Post-Award
  • Monitor programmatic and financial actions of grants and track program spending to ensure contract compliance.
  • Advise program directors of grant-funded programs including development of financial, operational policies, and procedures to ensure grant compliance.
  • Organize bimonthly meetings with project directors to discuss spending and programmatic progress.
  • Prepare correspondence, as needed, to solicit and secure changes in grant or contract terms and conditions, or budget amendments.
  • Coordinate with project directors on the preparation of programmatic reports as necessary.
  • Prepare project directors for grant close-out.
  • Keep detailed notes on all grant meetings.
  • Prepare and submit regular grant activity reports to the Director of Grants Development and Administration.
  • Organize and maintain grant electronic and hard-copy files of all submitted proposals.
  • Research compliance issues for project directors, the Business Office, or any other individual affiliated with the grant.



Requirements:


  • Bachelor's degree with experience in higher education desirable.
  • At least three years managing federal and state grants, preferably in higher education.
  • Familiarity with CFR 200 and other regulations of federal agencies.
  • Excellent computer skills. Experience in Microsoft Office Suite, especially Excel.
  • Proficiency in oral and written communication with excellent interpersonal skills.
  • Ability to meet deadlines.
  • Demonstrated ability to consistently follow up with project directors, finance and accounting staff, and grantors.
  • Ability to work independently and in a team environment.

WORKING CONDITIONS/PHYSICAL DEMANDS

Working in an office setting. The noise level in the work environment is usually quiet. While performing the duties of this job, some movement is required in the office. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery etc. Operates a computer and multiple technologies.
